How to Design a Wedding Timeline

|

A wedding runsheet is where the day really comes together behind the scenes.

It’s not just a list of times, it’s the framework that connects your ceremony, reception, suppliers and key moments so everything flows in sync. A good runsheet isn’t about packing the day tightly with strict timings. It’s about creating enough structure to guide the flow, while still allowing space for natural moments to unfold without pressure.

3 Rules for a Seamless Wedding Timeline

  • The Celebration Buffer: Never schedule family photos immediately after the ceremony. The moment you are announced as newlyweds, your guests will naturally want to rush up to hug, kiss and congratulate you. Allow 15 to 20 minutes just to breathe and enjoy these spontaneous greetings before trying to gather people for formal portraits.
  • Divide and Conquer the Speeches: Attention spans are short. Instead of forcing guests to sit through 45 minutes of back to back speeches, break them into two smaller blocks. Pair a couple of speeches with the entrée service and save the rest for the main course.
  • The Clean Break: When it’s time to dance, create a definitive kickoff. Cut the cake, step straight into your First Dances and then have your MC invite the rest of the room to join you. This definitive transition tells your guests the formalities are over and the party has officially begun.

A Sample Wedding Runsheet

(Based on a standard 4:00 PM ceremony and a 5-hour reception package)

  • 4:00 PM – The Ceremony: Live strings or acoustic musicians cue the perfect processional track.
  • 4:30 PM – Congratulations & Group Photo: The ceremony concludes, guests naturally mingle before the photographer captures a big group shot.
  • 4:45 PM – Cocktail Hour / Canapés: While you slip away for portraits, a live acoustic duo or trio sets the vibe for your guests.
  • 6:00 PM – Reception Doors Open: Guests enter the main room to upbeat, welcoming background music.
  • 6:15 PM – The Grand Entrance: Your professional MC captures the room’s attention and introduces the Bridal Party to their pre-selected entrance songs.
  • 6:30 PM – Entrée Is Served: Background music dips to a comfortable dinner volume.
  • 7:00 PM – Speeches: Part 1: The MC introduces the first two speakers while guests finish their entrées.
  • 7:15 PM – Main Course Is Served: A natural pause for guests to enjoy their meals and converse.
  • 8:00 PM – Speeches: Part 2 & Cake Cutting: The final speeches take place, leading directly into the official cutting of the cake.
  • 8:15 PM – The First Dance: The MC calls everyone around the floor. Your wedding band or acoustic act performs your special song live.
  • 8:20 PM – The Dance Floor Opens: The band fires up their first high-energy set, reading the crowd and instantly locking in the party vibe.
  • 9:30 PM – Dessert & Late-Night Bites: Fueled by quick bites, the crowd keeps moving as the band plays their biggest hits.
  • 10:50 PM – The Farewell: The MC wraps up the night with a final classic anthem and a farewell arch.
  • 11:00 PM – Reception Concludes.
